About the role
Our clients remember how our studio made them feel more than any single design decision. Our Client Experience Coordinator is the person most responsible for that feeling. You will triage inquiries, manage our new client onboarding, coordinate the thousand small touches across a live project — the welcome box, the project binder, the install-day flowers — and keep our client portal and communications pristine.
What you’ll do
- Triage all inbound inquiries from the website, referrals, and press; route qualified leads to the Principal
- Manage new client onboarding: welcome box, contracts, portal setup, kickoff meeting coordination
- Own the client portal — keep project timelines, documents, and selections current
- Coordinate client touchpoints during active projects: monthly check-ins, quarterly gifts, project-complete care packages
- Staff client-facing events: install celebrations, studio open houses, trade shows
- Maintain the CRM and keep client contact records accurate
What we’re looking for
- 2 – 4 years of client services, account coordination, hospitality, or luxury retail experience
- Exceptional written and verbal communication — warm, polished, professional
- Extraordinary attention to detail
- Comfortable with CRM tools (HubSpot or similar), Google Workspace, and a client portal
Nice to have
- Background in hospitality (five-star hotel, private club, or fine dining)
- Experience at a design, architecture, or luxury concierge business
- Basic Canva / InDesign familiarity
